The Growing Pains
When Spreadsheets Hit Their Limit
At Iquester Solutions LLP, our in-house brand Gigi Gadgets started with a clear focus on music accessories, power supplies, and pedalboard gear. Early on, lean execution was our core philosophy. To keep operating costs at zero, we built our entire operational stack on Google Sheets, Google Forms, and custom Google Apps Script automation.
For a long time, it felt like magic:
- Forms logged incoming orders directly into spreadsheets.
- Apps Script triggers auto-generated PDF invoices and emailed them to customers.
- Formulas calculated inventory deductions across tabs.
However, as Gigi Gadgets grew, adding more vendor networks, raw component SKUs, and internal manufacturing output, our custom spreadsheet system began to overwhelm:
- Race Conditions & Execution Timeouts: Concurrent form entries triggered script lock errors and cell overwrites.
- Lack of Real Bill of Materials (BOM): Tracking raw electronics (transformers, enclosures, jacks) vs. finished power supply assemblies became chaotic in flat sheets.
- Disconnected Operations: CRM, purchase orders, customer history, and stock records lived in separate spreadsheets without relational linking.
Pandemic Downtime into Digital Transformation
When the 2020 pandemic lockdowns hit, physical production paused, but our engineering team suddenly had rare breathing room. Rather than letting lockdown downtime slip away, we used it as an opportunity to overhaul our core infrastructure.
The Goal: Migrate Gigi Gadgets out of spreadsheets into a unified ERP covering CRM, Sales, Purchase, Manufacturing, and Inventory, without paying expensive commercial SaaS subscription fees.

Why Dolibarr ERP?
We evaluated various tools, but commercial enterprise suites were ruled out to conserve cash flow during uncertain times. Heavy open-source platforms were overly resource-intensive. Dolibarr ERP & CRM emerged as the optimal choice:

Migration Steps Executed
- Data Extraction & Sanitization: Wrote AppScripts to parse, clean, and normalize years of legacy spreadsheet rows into structured CSVs.
- BOM & Catalog Mapping: Configured Dolibarr’s Manufacturing module, from mapping every raw electrical component SKU to finished Gigi Gadgets products.
- GST & Invoice Template Engine: Customized Dolibarr’s PDF engine using PHP to generate clean, brand-aligned GST tax invoices.
- Cloud Deployment: Hosted the instance on a secured cloud server with automated MySQL backups and SSL encryption for safe remote access.
